The Add Members page provides Club Administrators with the ability to:
Add Club Members
Within the Add Members page, club administrators are able to add a member to their club.
To add a member, please see the steps below:
1. Click on the Add Members tab within the Members section
2. Complete the Members Details section ensuring that the required fields which are marked with an asterisk (*) are filled out. The required fields are listed below:
- Forename
- Surname
- DOB (This will only be a required field if you are adding a playing member)
- Gender
- Address 1
- Town
- County
- Country
The rest of the fields within the form are optional however we would advise you to enter as many contact details as possible to make it easier for the club to contact the member.
By providing a phone number and/or email address, club administrators will have the ability to contact the member via the system via email or SMS messages.

3. Select the appropriate options within the GAA Member Type section ensuring that the required field 'GAA Member Type' is correctly assigned to the member.
Within this section, the club administrator will confirm the members:
- GAA Member Type - Full, Youth, Honorary or Social
- Payment Category - Full, Youth, Social or Club Defined payment categories
- Player - Yes or No
- Match official - Yes or No
- Fee's Paid - Yes or No
- BY SELECTING YES FOR FEE'S PAID, THE MEMBER WILL BE AUTOMATICALLY REGISTERED AND WILL APPEAR WITHIN THE VIEW MEMBERS PAGE. THE MEMBER WILL BE INELIGIBLE TO COMPLETE A PAYMENT VIA THE MOBILE APP FOR MEMBERSHIP FEES AS THEY HAVE BEEN MARKED AS PAID VIA OTHER MEANS.

4. If the member is associated with a family on the system, the club administrator has the ability to search for the family name within the box or add a new family. The member can then be associated with this family on the system.

5. When the club administrator has entered all of the member's details, click Register
6. If the member has NOT PAID for their fees yet, the following message will appear when the register button is clicked.

N.B
The member will now be visible within the 'Membership Subscriptions' page as the club is still awaiting payment from the member. Within the membership subscription page, the club administrator can send an invite to the member to allow them to pay for their registration via the GAA app or if the club has already received the money from the member then the club administrator can mark the member as paid.

7. If the member has paid for their fees, the following message will appear when the register button is clicked.

N.B
The member will be visible within the 'View Members' page as the member has paid their registration payment to the club.
The member will not be able to pay for their membership via the mobile app if the club administrator adds the member and selects Yes for the Fee's Paid option.

Add Club Contacts
Within the 'Add Members' page, club administrators are able to add a contact to their club.
To add a contact, please follow the steps below:
1. Click on the 'Add Members' tab within the 'Members' section
2. Click on the 'Add Contact' button
3. Complete the contact details form ensuring that the required fields which are marked with an asterisk (*) are filled out. The required fields are listed below:
- Forename
- Surname
- Gender
- Address 1
- Town
- County
- Country

4. Click Save when completed. The contact will then be added to the management system.

Bulk Add Club Members
Within the 'Add Members' page, club administrators can bulk add a large amount of members at the same time by uploading a excel document in CSV format.
To bulk add members, please follow the steps below:
1. Click on the 'Add Members' tab within the 'Members' section
2. Click on the 'Bulk Add Members' button.
NOTE: The template with validation only applies to clubs within Ireland and Great Britain. Countries outside of these will not be presented with this option and will have to use the teomplate without validation.
Step 1
On step 1 you will be presented with two options:
- To download a template WITH validation (recommended) :
- This will download an Excel Workbook which will have tips and validation that will guide you through the process of adding members details. Member details need to be entered in a certain format in order that the final uploaded document will be able to be read by the system and this will document will make it easier.
- To download a template WITHOUT validation :
- If for some reason you cannot access the aforementioned file then use this option. This will present a spreadsheet that contains all of the fields necessary for the system although does not provide any of the help or validation of the previous document.
Step 2
Open the spreadsheet. Both of the spreadsheets will be laid out the same with the difference that the validated Excel file will contain tips and multiple choice drop-downs. Fill out the spreadsheet with the member data. If you are transferring member data from another system then follow the instructions here.Step 3
We will now be saving the spreadsheet to a format that the system will be able to understand when the document is uploaded.
- Determine which version of Excel you are using (It will tell you within the start menu > programs > Microsoft Office). It will say which version you are using 2003, 2007 or 2010.
- Save the file as a CSV file to a folder of your choosing. You can do this:
- In Excel 2003 by using the Save As command (on the File menu) and from the dropdown.
- Choose the folder you wish to save it in.
- In the Save as type list, click on CSV (comma delimited) and click Save.
- A popup will appear. Click OK.
- If another appears click YES.
- In Excel 2007 and Excel 2010 by clicking into the round orb in the top left of the screen and click on Save As.
- Choose the folder you wish to save it in.
- In the Save as type list, click on CSV (comma delimited) and click Save.
- A popup will appear. Click OK.
- If another appears click YES.
- Open Notepad.
- Click File > Open and select the bulk add members file.
- Remove any blank trailing spaces at the end of the text.
- Click File > Save As.
- Set Encoding to UTF-8.
- Click Save.
Step 4
Now you are ready to upload the file of new members.
- Click 'Browse'.
- Locate the file that you previously named and saved to your computer.
- Click on the file name.
- Click 'Open'.

Step 5
- The Preview Screen will tell you -
- The number of new members you have added to the spreadsheet.
- The number of members with valid data (data entered successfully).
- The number of members with invalid data (data entered incorrectly).
- 'Jim Bloggs' information has been entered correctly.
- To see the correct validation for each field, hover over each column name.
- Click 'Import' to import members who's details have entered successfully. A drop down bar will appear telling you the number of successfully imported members and the number that were unable to be imported due to errors. If it tells you all the members have been successfully added then this is the process completed. If not click on the 'Export Bad Records' button.
- Edit all the records that are causing the errors, following the guidance from the export table.
- Save and re-upload the document as before.
- Do this until all members have been added.
Importing members data from a previous system / spreadsheet
If you already have a spreadsheet of members you wish to import in to the GAA System, the spreadsheet must be in the format show below;(Refer to attached American Spreadsheet for American version)

- In order for the upload to be successful columns must be in the order shown above.
- Column Names must begin with the '#' key as shown above.
- The GAA Member Type can only be ‘Full’, ‘Youth’, ‘Honorary or ‘Social’.
- The Country code for the home, mobile and work phone numbers must represent the Country i.e Ireland (+353) UK (+44).
- Any column header that has * after the name indicates that it is a required field.
- If a member IS a player then you must supply their DOB.
- Do not insert a '#' key anywhere else in the spreadsheet other than the Column headings.
